2. Scope

This policy covers the data we process when you use the website and when you first contact One Divine. Any processing that follows, such as preparing a proposal, signing a contract and organising an event, is covered separately by the information we give you at that stage and, where necessary, by separate agreements.

3. What data we collect

When you contact us through the website form, by email, by phone or on WhatsApp, we collect the data you give us directly: your first name and surname, your email address, your phone number (if you give it to us) and any information you choose to include in your message, for example the type of event you have in mind.

Please do not send us health information, copies of identity documents or other sensitive information through these general contact channels. If we need this kind of information to provide our services, we will first tell you how it will be handled and how to send it to us securely.

Giving us your data is voluntary. However, if you do not give us your contact details and the minimum information we need to understand your request, we may not be able to reply to you or take the conversation further.

We also collect some technical data automatically when you visit the website, such as your IP address, your device and browser type and the pages you visit. This is explained in the Cookie Policy.

4. Why we use your data and on what legal basis

We use your data for the following purposes:

To reply to your requests and take the steps you ask for before we enter into a contract. Legal basis: steps taken at your request before entering into a contract and, where applicable, our legitimate interest in managing our communication and relationships with the people who contact us (Article 6(1)(b) and (f) GDPR).

To keep the website running and secure. Legal basis: our legitimate interest (Article 6(1)(f) GDPR).

To comply with our legal obligations. Legal basis: compliance with a legal obligation (Article 6(1)(c) GDPR).

5. Who we share your data with

We do not sell or rent your data.

To run the website and handle our communications, we may use technology providers such as Squarespace (website hosting and operation), Google Workspace (email and productivity tools) and WhatsApp (messaging, if you choose to contact us that way).

Depending on the service and the type of processing, these providers may act either as processors on behalf of One Divine or as independent controllers, under their own terms and privacy notices.

We may share data with public authorities where the law requires us to do so.

6. Cookies and technical data

The website uses cookies that are strictly necessary for it to work. Performance and analytics cookies, which help us understand how the website is used, are only set with your prior consent.

Non-essential cookies are switched off by default and are only switched on according to the choices you make in the cookie consent tool.

The Cookie Policy sets out which cookies we use, who provides them, what they are for and how long they last, as well as how you can change or withdraw your choices.

7. Transfers outside the European Economic Area

Some of our providers (Squarespace, Google, WhatsApp) may process data in the United States or in other countries outside the European Economic Area. When this happens, the transfer relies, as applicable, on an adequacy decision of the European Commission (including the EU-US Data Privacy Framework, where the provider is certified), on standard contractual clauses, or on another transfer mechanism permitted under Chapter V of the GDPR.

You can ask us for more information about these safeguards by writing to the email address given in this policy.

8. How long we keep your data

We keep your data for the following periods:

Enquiries that do not lead to a contract: for up to 12 months from our last communication, so that we can handle your enquiry, keep a record of our correspondence and reply if you get back in touch about it.

Technical and analytics data: for the periods set out in the Cookie Policy.

Where the law requires us to keep data to show that we have met a legal obligation, we keep it for the period set by that law.

9. Your rights

Under the conditions and within the limits set by the GDPR, you have the right to access your data, to have it corrected or erased, to restrict its processing, to object to its processing and to data portability. Where processing is based on your consent, you can withdraw your consent at any time. Withdrawing it does not affect the lawfulness of any processing carried out before you withdrew it.

You can exercise these rights by emailing contact@one-divine.com. We will reply without undue delay and in any case within one month of receiving your request. If requests are complex or numerous, we may extend this by up to two further months, in which case we will tell you within the first month.

You also have the right to lodge a complaint with the Romanian data protection authority, the National Supervisory Authority for Personal Data Processing (ANSPDCP), at dataprotection.ro.

10. If you are under 18

If you are under 18 and contact us, we may ask you to involve a parent or legal guardian before we continue the conversation.

11. Data security

We use technical and organisational measures appropriate to the risks involved. These include limiting access to the people who need the data for their work, protecting our accounts with authentication controls, and binding everyone who has access to the information to confidentiality.

No method of sending or storing data can guarantee absolute security, but we review our measures regularly and adapt them to the nature of the data we process.

12. Automated decision-making

One Divine does not make decisions about you based solely on automated processing, including profiling, that have legal effects for you or affect you in a similarly significant way.

13. Changes to this policy

We may update this policy when the law, technology or the way we process data changes. The updated version will be published on the website, and if the changes are significant we will draw your attention to them.
